Recruitment for Odysseus RERUN
The epic journey of ESS Odysseus returns in summer 2024. This is a call for creators!
What is it about?
Odysseus is a live-action roleplaying game (larp) following Finnish and Nordic larp traditions. The story focuses on the last remnants of humanity aboard the ESS Odysseus, a FTL-capable spaceship. The larp takes place over 48 hours in an interactive, functional environment where the players will get to experience a moment in the life of survivors and spaceship crew alike.
The game was originally run in the summer of 2019, with a total of over 300 players from across the globe participating in three separate runs. The first run was played in Finnish, with the following two runs played in English.

Benefits for team members and what we provide
Odysseus is a volunteer run project where, barring rare production-dictated instances, nobody will be monetarily compensated for their time and effort.
Being a part of the project is to be a part of something extraordinary. The project will draw on the original 2019 game and much of the experience from those runs, so you'll be part of a strong crew with a solid basis. We aren't, however, aiming to make a carbon copy of the 2019 event, so everyone’s creative input will be a very important part of the new experience. Joining the team will give you great work experience that will reinforce any CV, and if you should need it, you will receive a written reference from Illusia Ry, the association running the behind the scenes administration.
For our on-site crew we will be able to provide accommodation, all the meals during run time, and some meals, snacks and (non-alcohol) drinks during building and clean up. We are able to arrange sleeping in the school during building and clean-up, and we can provide mattresses and bunk beds we'll use in the larp for sleeping. If there are crew members sleeping in the location, the fire safety regulations demand that someone needs to stay awake during the night in case there is an emergency. If there are multiple people requiring accommodation, we'll arrange shifts for sleep guards on the location, but if there are only few crew members in need of an accommodation it will be arranged in the homes of our local team members. The school has good facilities with toilets, showers and fully equipped kitchen for making your own food. Unfortunately we won't be able to cover travel expenses to and from site as we have such a massive crew joining us on-site. We will compensate car ride expenses during runtime to get our npc's and helpers to and from the land mission sites.
While we are a voluntary run production and won't be able to compensate monetarily our team members for their time (and money) spent to participating on creating this larp, we can guarantee an experience of a lifetime for joining us on site. Creating the spaceship and taking it to the stars with our dedicated and enthusiastic crew is an adventure of it's own. Seeing from behind the scenes how the production of this scale is done and being a part of the Odysseus crew making all this possible is truly worth it.

Practicalities of joining the team
The organization team will be international and will be communicating mainly in English, so especially positions that require a larger commitment will need a good degree of written and spoken English. However there might be some roles especially regarding the building of the ship where it is possible to communicate solely in Finnish.
In any volunteer run project it is vital for a functional work atmosphere that everybody on the team is comfortable working together. The existing team will go through the list of all applicants (name and desired role) and due to that we have a short acceptance period before welcoming new team members. New recruits are also encouraged to indicate if there are any potential people they might be uncomfortable working with. Our sincere aim is to build a team where everybody can shine and enjoy themselves while minimizing the amount of unnecessary conflicts.
You can expect it to take us approximately two weeks to get back to you after signing up. If you don't hear back from us in couple of weeks feel free to contact us at [email protected]
Everybody on the team has to read and agree to Odysseus teamwork guidelines. Before applying, please familiarize yourself with these guidelines.

PRE-PRODUCTION: Open roles
Sign up for pre-production roles is closed.
On-site: Open roles
Recruitment for on-site roles is now open! Below are the descriptions for open roles. If we get more sign-ups than we need, we will fill the roles based on availability and flexibility. We will prioritize applicants who can fill in for more than one role and are able to participate in several runs.
We will fill spots roughly once a month, possibly a bit faster at the beginning. Once signed up you can expect to wait several weeks before you hear from us. The first batch of run-time roles is now been confirmed and the remaining roles will be filled about once a month.
Everyone is welcome to participate in the building and clean-up phases. However, we need you to sign up for these roles as well, so that we can estimate the need for further recruitment and the amount of food and snacks provided.

Run time
Kitchen coordinator (~1-2 more needed)
Kitchen coordinators are in charge of running the kitchen during the runtime. All the warm meals come pre-made from the food provider (provider is already selected and orders have been made) so there is no cooking involved. Kitchen crew is responsible for warming up the food, putting it to display to both players and organizers, cleaning it out, doing dishes (industrial dishwasher), warming food for players who missed out on meal times, making coffee, and preparing breakfast and snacks (including work like chopping etc.). Kitchen lead is responsible for instructing and coordinating the rest of the kitchen team. There are 2 kitchen team members on duty throughout the majority of the run time in shifts and help will be provided from other teams in most hectic times. We have volunteer for doing most of the planning, including shopping lists, instructions etc. as well as enough helpers to fill the shifts, so we are currently only looking few more leads to follow the instructions, assign tasks to helpers and participate in them.
Additional run-time roles
Additional roles we are currently not needing more assistance, but which you can indicate in your sign-up that you are willing to fill in if need rises later on.
Text NPC team (no open roles)
Playing various NPC characters and EVA (the ships AI) via text throughout the larp. These NPC characters are mostly relatives on other ships of the fleet, and military and political leaders. Some NPCs are there just to add flavor to the game play but others have specific functions to steer the overall game or experience of some characters to a certain way. Text NPC team will get extensive instruction from the story team, and the run time coordinator is in a supervising role. The team will get a database with most of the relevant information needed. Text NPC’s have 4-6 hour shifts around the clock and will be stationed in the GM command center.
Empty epsilon team (no open roles)
Playing the enemy ships in Empty Epsilon whenever the machines are close enough of the Odysseus or survivor fleet to deploy fighters and engage in battle. Team will also be in charge of the EOC fleet following Odysseus. Some skills with playing Empty Epsilon are an asset but you will get full instructions on what to do. There are active tasks every 2 to 3 hours around the clock and there should be an EE team member on call at all times. This role can very easily be combined with volunteering as a text NPC.
Tech support team (no open roles)
Preferably existing team members from light, sound, infra and software teams to be onsite and ready to troubleshoot issues at all times. In case there is remote access available if agreed with producers this role can be performed also by being on call to troubleshoot remotely. There need to be plans in place to recover from possible incidents and tech teams will provide a list of support team shifts to the run time coordinator.
SFX lead/team (no open roles)
SFX team makes sure players look sufficiently battered and bruised after combat. There are plenty of occasions where players are heavily injured and to provide as realistic experience as possible to our medic players we will prop players with a variety of wounds ranging from bruises to gunshot wounds to radiation burns and to large open cuts. We are looking to add a few more members to our existing SFX team with some skill on creating realistic looking wounds to players. SFX team will work in shifts throughout the larp with most of the team present in few high demand events.
Prop team (no open roles)
In charge of all ad-hoc prop needs that arise during runtime as well as propping land mission sites.
Runners (no open roles)
Runners will help out in everything that needs doing during run time. They can jump into kitchen or maintenance duty, drive NPCs or players to the land missions, drive to shops to pick up missing things, find another organizer who’s needed and so on. Runners are available on site on shifts throughout the run time to pick up any task that needs doing.
Live NPC coordinator (no open roles)
In charge of the live NPC team of roughly 20 people. Schedule team members for different scenes and handle briefing before and after. Cooperation about specific needs and timetables will be done with the run time coordinator, the HR-team and possibly the prop team. Demanding and hectic leadership role that will require active presence on site throughout the runtime (with sleeping breaks).
Assistant land mission coordinator (no open roles)
Right hand to our land mission coordinator. Coordinates location setup with prop team, npc’s and land mission safety team with live npc coordinator, makes sure player transportation/driver(s) are secured and streaming setup is ready and instructed for the players. In charge of all the open questions regarding the land missions. Operates closely with run time coordinator and solves any land mission related issues with them.
Live NPC team (no open roles)
Playing NPC characters for different scenes throughout the larp. The biggest scenes will be on landmissions outdoors with 15-20 NPC characters. Characters vary from peaceful ones to hostile machines. There are also one-shot roles onboard the Odysseus, some are a bit longer and some short ones. Players volunteering as live NPC can also volunteer as text NPC. Between NPC duties the volunteers can be asked also to help in the kitchen or maintenance duties onboard the Odysseus. The NPC break room is in a barrack outside the school building.
Photography team (no open roles)
Capture in-game moments aboard the ESS Odysseus and land missions! Bring your own camera and lenses, keeping in mind the dim lighting onboard. We will provide studio lighting for portraits before the run. Timely processing of the photos is expected: you are encouraged to take editing breaks already during runtime, and we will agree together on a quarantine deadline so that the photos can be made public some weeks after the last run ends. You can publish your photos on Larppikuvat.fi or your preferred channels (Flickr Pro, etc.) as long as long-term availability is ensured.

Documentation (Building & run time)
There are two different tasks under documentation. 1.) Take photographs/videos of empty classrooms/spaces before the building starts so that we are able to put everything back together as it was. 2.) Take photos/videos during building and runtime from behind the scenes for documentation purposes following the instructions of the documentation lead.

There are two different tasks under documentation. 1.) Take photographs/videos of empty classrooms/spaces before the building starts so that we are able to put everything back together as it was. 2.) Take photos/videos during building and runtime from behind the scenes for documentation purposes following the instructions of the documentation lead.
Kitchen (Building)
During the building phase the kitchen volunteer takes the charge of providing warm meal for our builders for the day. Some of the warm meals may come pre-made from the food provider so there is no cooking involved. And it is also possible to acquire the ingredients and create the food you prefer. Kitchen helpers duties during runtime vary from cooking the food to warming up the food, putting it on display, cleaning it out, and doing dishes.
